We may collect information when a parent or guardian:
Completes a Facebook or Instagram lead form
Completes a form on the Loud Ballers website
Books a trial, session, membership, event or holiday camp

Sets up or makes a payment
Provides medical, emergency or consent information
Attends a Loud Ballers session or event
Responds to a survey, promotion or communication
We may also receive information through booking, payment, advertising and communication providers used to operate our services.

Process enquiries and trial registrations
Check age and session eligibility
Manage capacity and waiting lists
Confirm, remind and administer bookings
Create registers and record attendance
Provide safe and appropriate football coaching

We do not sell parent or child information.
5. Our lawful bases
Depending on why we use the information, we rely on one or more of the following lawful bases:
Contract and steps before entering a contract
We use information to respond to booking requests, provide trials, manage memberships and deliver services requested by parents or guardians.
Legal obligation
We may keep and use information where required for accounting, tax, safeguarding, insurance or other legal responsibilities.
Legitimate interests
We may use information where reasonably necessary to operate and improve Loud Ballers, manage enquiries, protect our services, maintain records and communicate about related services. We consider the interests and rights of parents and children before relying on this basis.
Consent
We rely on consent where required, including for certain marketing communications, photography or video use, and some uses of medical or health information. Consent can be withdrawn at any time.
Vital interests
In an emergency, we may use or share relevant medical or contact information to protect a child or another person.
Health and medical information is treated as special-category data and receives additional protection.
6. Children’s information
Our services are provided to children, but bookings and registrations must be completed by a parent or legal guardian.
We collect only information that is reasonably necessary to:

Provide coaching
Manage attendance
Protect children’s health and safety
Communicate with their parent or guardian
We do not intentionally send direct marketing to children or ask children to create booking or payment accounts independently.
7. Facebook and Meta lead forms
When a parent submits information through a Facebook or Instagram lead form, Meta provides the submitted information to Loud Ballers.
Meta separately processes information under its own terms and privacy policy. Loud Ballers uses lead-form information to:
Review the registration
Contact the parent
Allocate or confirm a place
Manage capacity and waiting lists
Provide information about the requested session
Measure advertising performance
Submitting a lead form does not necessarily guarantee a place. Places remain subject to eligibility, availability and confirmation.
8. Email, telephone and WhatsApp
We may use email, telephone or WhatsApp to send:
Registration confirmations
Session information
Booking reminders
Waiting-list updates
Cancellation information
Payment or membership information
Trial and membership follow-ups
Important operational or safeguarding messages
Operational messages necessary to administer a requested booking are not treated as optional marketing.
Where marketing consent is required, we will ask separately. Parents can withdraw marketing consent or opt out at any time by contacting louis@loudballers.com or using an unsubscribe option where provided.
9. Who we share information with
We may share information only where reasonably necessary with:
Authorised Loud Ballers coaches, administrators and staff
Venue operators, where required for safe delivery
Booking and customer-management platforms
Payment processors, including GoCardless and other payment providers where used
Communication and email providers
Meta for advertising and lead generation
Squarespace for website hosting
Google for secure business documents and spreadsheets
Zooza, TeamUp or other booking systems where used
Accountants, insurers, professional advisers and IT support providers
Medical professionals, emergency services, safeguarding authorities or law-enforcement bodies where necessary
Regulators or public authorities where required by law
Staff and coaches receive access only to information relevant to their role.
10. International data transfers
Some technology providers may process information outside the United Kingdom.
Where information is transferred internationally, we expect providers to use legally recognised safeguards, such as UK adequacy regulations, the UK International Data Transfer Agreement, the UK Addendum to standard contractual clauses, or another lawful transfer mechanism.
11. How long we keep information
We keep information only for as long as reasonably necessary.
Our working retention periods are:
Unsuccessful enquiries and trial registrations: normally up to 12 months after the last interaction
Active customer and membership records: for the duration of the relationship
Financial, payment and transaction records: normally six years after the relevant financial year
Attendance, incident and safeguarding records: for the period required by legal, insurance and safeguarding considerations
Medical and emergency information: reviewed regularly and removed when no longer necessary, subject to safeguarding, insurance or legal requirements
Marketing records: until consent is withdrawn, the person opts out or the information is no longer reasonably required
Suppression records: limited information may be retained to ensure we respect an opt-out request
We may retain information for longer where required by law, insurance, safeguarding responsibilities or the handling of a complaint or legal claim.
12. Photography and video
Loud Ballers may create photographs or video during sessions and events.
Where consent is required, parents or guardians will be given a choice. Refusing photography or video consent will not prevent a child from accessing coaching services.
Consent can be withdrawn for future use by contacting louis@loudballers.com. Withdrawal may not affect material already lawfully published or distributed before the request was received, although we will consider reasonable removal requests.
13. Security
We use reasonable organisational and technical safeguards to protect personal information. These may include:
Restricted staff access
Password-protected accounts
Access controls
Secure service providers
Staff guidance
Regular review and deletion of information that is no longer needed
No online system is completely secure, but we take reasonable steps to reduce the risk of loss, misuse or unauthorised access.

Depending on the circumstances, parents, guardians and children may have the right to:

Ask us to correct inaccurate information
Ask us to delete information
Ask us to restrict how information is used
Object to certain uses, including direct marketing

15. Automated decision-making
We do not currently use personal information to make solely automated decisions that produce legal or similarly significant effects on parents or children.
We may use automated rules to assist with age eligibility, reminders, capacity, waiting lists and booking administration. Staff can review these outcomes where required.
